One page per client, and it stays current
The client record
Industry, size, address, website, owner, tags and lifecycle — lead, prospect, client, past client. Open value and open quotations sit at the top so you know where the relationship stands before you dial.
Health badges
Healthy, cooling or at risk, recomputed every night from real activity. A client nobody has touched cools on its own, which is the only way silence ever becomes visible.
The timeline
Calls, emails, meetings, notes, stage moves, quotations sent and files uploaded — in one stream, newest first, with who did it and when.
Duplicate detection
Matches on company name, email domain and contact email as you type and on import, so the same client does not arrive twice under two spellings.
People, and the deals they belong to
Contacts
Multiple contacts per client with a nominated primary, direct and mobile numbers, LinkedIn, preferred channel and a do-not-contact flag that the rest of the app respects.
Your stages, not ours
Rename, reorder, add and retire pipeline stages. Each carries a probability, so the weighted pipeline figure means something in your business.
Drag and drop
Move a deal across the board and the stage change, the mover and the timestamp are recorded. Days-in-stage is on the card, so nothing sits unnoticed.
Won, lost and why
Closing a deal asks for the reason. Lost reasons accumulate into the one report that changes how you sell.
Attach what you already send, then watch it
ClientZapp does not make you rebuild your quotation inside a form. You upload the document you already produce, and the CRM takes care of everything that happens to it afterwards.
Send a tracked link
The recipient gets a private link rather than an attachment. No login, no account, nothing to install on their side.
See the opens
First opened, last opened and how many times. A quote opened four times and never answered is a phone call, not a mystery.
Revisions, in order
Upload version 2 and the link keeps working — it now shows the current version, with the history kept underneath.
A real stage machine
Draft, sent, viewed, in negotiation, accepted, rejected, expired. The app only offers the moves that make sense from where the quote is.
Expiry that happens
A validity date that passes expires the quotation overnight and raises a follow-up task for its owner. Nobody has to remember.
Accepted closes the deal
Marking a quotation accepted wins the deal it belongs to, so the pipeline and the paperwork cannot disagree.
The part every CRM promises and few deliver
Tasks that belong to something
A follow-up is attached to a client, a contact, a deal or a quotation — never floating. Overdue, today, upcoming and undated are the only buckets you need.
One alert, at the right hour
When a follow-up crosses its due date, its owner is emailed once — within the hour, not the next morning, and never again for the same task.
An 08:00 digest in your timezone
What is overdue and what is due today, delivered at eight in your morning. Half-hour offsets included; an empty digest is never sent.
Switches that work
The workspace decides whether overdue alerts go out at all; each person decides whether they want the digest. Neither setting is buried.
The rest of it
Files on the client
Contracts, scopes, site photos and spreadsheets up to 25 MB, with every quotation version listed alongside the uploads. Downloads run through short-lived signed links.
Dashboard
Open deals, pipeline value, quotations awaiting an answer, follow-ups due and won-this-month — each against the previous period, with revenue by month underneath.
Roles
Owner, Admin, Member and Viewer, enforced on the server for every request. A Viewer cannot change a record even by trying.
Import
CSV and Excel, mapped column by column, with duplicates flagged before anything is written.
AI where it helps
A plain-English summary of a client relationship and a suggested next step, on the plans that include it. It drafts; you decide.
Reports
Pipeline, conversion, quotation outcomes and activity, exportable. Included on Team and Business.
What ClientZapp is not
A short list is worth more than a long one. Today, ClientZapp does not do these things:
- Marketing automation, drip campaigns or mass mailing
- A full email client — it records what happened, it is not your inbox
- Invoicing, accounting or payment collection
- Telephony, call recording or a dialler
- Custom objects, custom fields and a formula language
- Territory management, forecasting hierarchies and quota plans
If you need those, you need a larger CRM and the project that comes with it. If what you actually need is to stop losing quiet clients and unanswered quotations, this is the smaller tool.
