Getting started, moving your data in, and the handful of things people ask in their first week.
Your first thirty minutes
Create the workspace
Sign up with your work email. Your workspace, its name and its timezone are set on the way in and can be changed later in Settings.
Bring your clients
Import a CSV or Excel file, map the columns once, and review the duplicates ClientZapp flags before anything is written.
Shape the pipeline
Rename the default stages to the ones you actually use and set a probability on each. Two minutes, and every figure afterwards means something.
Invite the team
Invite by email and choose a role. Invitations expire after seven days; you can resend or revoke one at any time.

Clients and contacts
Importing from a spreadsheet
Settings → Import. Upload a .csv, .xlsx or .xls file and map each column to a ClientZapp field. Company name is the only required column; everything else is optional.
Before the import runs, any row that looks like a client you already have — same name, same email domain, same contact email — is listed for you to merge, skip or import anyway. Nothing is written until you confirm.
What the health badges mean
Healthy — there has been real activity recently. Cooling — nothing has happened for longer than your workspace's cooling threshold. At risk — longer still, or a follow-up has been overdue for some time.
The thresholds are yours to set in Settings. Health is recomputed every night, so a client cools on its own without anyone touching the record — which is the point.
Lifecycle: lead, prospect, client, past client
Lifecycle describes the relationship; the pipeline stage describes a single deal. A past client with a new opportunity keeps its history and simply gets a new deal — you never have to re-create the company.
Archiving instead of deleting
Archiving takes a record out of every list and report while keeping its history intact, and it can be restored. Permanent deletion is reserved for the workspace Owner and covered in the Privacy Policy.
Quotations
Sending a quotation
Open the client, go to Quotations and create one: a title, an amount, a validity date, the contact it is for, and the document itself — a PDF, Word file or spreadsheet up to 25 MB.
Sending it mints a private link and emails the contact. The link needs no account and no password on their side.
How tracking works
Opening the link is recorded: first open, most recent open and a count. The quote moves itself from sent to viewed the first time.
It tells you the link was opened. It does not tell you who was in the room, and it does not track the reader anywhere else.
Revising a quotation
Upload a new version from the quotation. The existing link keeps working and now serves the newest version; every earlier version stays listed, with who uploaded it and when.
Expiry and acceptance
A quotation whose validity date has passed is expired overnight, and a follow-up task is raised for its owner. Marking one accepted wins the deal it is linked to, so the pipeline matches the paperwork without a second step.
Follow-ups and email
Overdue alerts
When a follow-up crosses its due date, its owner gets one email within the hour — once per task, never a daily nag. Moving the due date or reopening a completed task re-arms it.
An Admin can switch overdue alerts off for the whole workspace in Settings → Notifications.
The 08:00 digest
Each morning at eight — in the timezone on your own profile, not the server's — you get what is overdue and what is due today. If there is nothing due, nothing is sent.
Turn it off for yourself under Profile; it is a personal setting, not a workspace one.
Emails are not arriving
Check the spam folder first, then that the address on the user's profile is right and the user is still active. If invitations arrive but digests do not, the digest is switched off on that profile. Still stuck? Write to us with the workspace name and roughly when you expected the email.
Team and account
What each role can do
Owner — everything, including billing and transferring ownership. Admin — everything operational, including team and settings. Member — the day job: records, deals, tasks, quotations. Viewer — read-only.
Roles are enforced on the server for every request, not hidden in the interface.
Resetting a password
Use Forgot password on the login screen. The link is single-use and expires; requesting a new one invalidates the old.
Exporting your data
Clients, contacts, deals and quotations export to CSV from their list screens. The export is of your workspace only and is available on every plan.
